Overall Assignment Description:

The Open IT Solutions Office (TEI) requires Office Management/Staff Officer support for TEI Front Office operations and TEI divisions as required to fulfill NGA’s mission. The position will provide administrative support for TEI Business Operations to include:

Track, coordinate, and respond to NCERTS Taskers on behalf of TEI. Administer and manage TEI's Records Management Program. Review, edit, track, and submit Civilian Awards. Track, edit, and submit TEI's Inter-Agency Agreements in accordance with DoD and NGA Support Agreement policies and guidelines. Schedule, update, and manage meeting records, update and maintain meetings agendas and provide improvement recommendation for ad-hoc and recurring meetings as requested. Maintaining a knowledge repository on SharePoint with meeting minutes from assigned recurring meeting including Program Management Reviews, Budget Reviews, Decision Briefs, Town Halls and other assigned meetings. Coordinate required preparation for recurring meetings including Program Management Reviews, In Progress Reviews, Milestone Reviews, Staff Meetings, and Town Halls. Edit and proof documents to include talking points, white papers, and briefing slides. Serve as the Action Officer on Ad-Hoc administrative tasks as directed by the TEI Deputy Director, TEI Program Execution Lead, and or the Deputy Program Execution Lead.


Duties shall include:

• Lead, track, coordinate, and respond to NCERTS Taskers on the Unclassified and Top-Secret domains. Brief TEI Leadership on the status of all Taskers, and send out periodic updates on Taskers status to all TEI divisions.

• Serve as a Primary Information Officer to lead, manage and administer TEI’s Records Management Program. Provide programmatic updates to TEI leadership as requested. Interact with NGA Records Management Program office as needed to administer TEI’s Records Management Program.

• Serve as TEI’s Lead for Civilian Awards, to include annual, quarterly, and ad-hoc awards. Proof, edit, submit, and track awards for TEI leadership review and approval.

• Serve as TEI’s Lead for Inter-Agency Agreements (IAA). Track, proof, edit, and submit TEI's Inter-Agency Agreements in accordance with DoD and NGA Support Agreement policies and guidelines.

• Schedule, update, and manage TEI meeting records, update and maintain meetings agendas and provide improvement recommendation for ad-hoc and recurring meetings as requested. Maintain a knowledge repository on SharePoint with meeting minutes from assigned recurring meeting including Program Management Reviews, Budget Reviews, Decision Briefs, Town Halls and other assigned meetings. Coordinate required preparation for recurring meetings including Program Management Reviews, In Progress Reviews, Milestone Reviews, Staff Meetings, and Town Halls.

• Edit and proof documents to include talking points, white papers, and briefing slides. Serve as the Action Officer on Ad-Hoc administrative tasks as directed by the TEI Dep. Director, Program Execution Lead, and or the Deputy Execution Lead.

• Improve and/or document processes, create Standard Operating Procedures and checklists.

• Serve as a primary suspense coordinator for all CIO-TEI and subordinate office taskings to include those from external agencies, internal offices, and staff packages.

• Lead, and support when applicable, office staff meetings and provide administrative and coordination support to the forum; take notes and electronically record actions from key personnel as needed. Track actions to closure.

• Lead, and perform when necessary, the preparation of routine and specific topic briefings and reports; prepare and distribute briefing report and read-ahead material.

• Develop and maintain a comprehensive understanding of NGA’s office management policies, procedures, records management, and guidelines.

• Lead, and perform when necessary, administrative officer duties to include scheduling, coordinating meetings, coordinating calendars and events; and gathering, inputting, and retrieving electronic data.

• The Contractor shall assist the TEI senior management by preparing, editing, and providing documents include preparing talking points white papers, and briefing slides.

• The Contractor shall assist TEI senior management by developing intra and inter agency Memorandums of Agreements and/or Memorandum of Understanding by submitting draft recommendations as requested

 

Required Skills and Experience:

• Demonstrated written and oral communication skills.

• Demonstrated experience interacting with senior-level directors and/or agency heads.

• 11-14 years of demonstrated experience, skill and expertise leading, managing and working office support including but not limited to creating diagrams, checklists, SOPs, manuals, and handbooks

• Experience in planning and leading sub-tasks and projects

• 11-14 years of demonstrated experience in effective data gathering and presentation in order to compile effective recommendations or responses to aid in senior-leader decision-making.

• 11-14 years of demonstrated experience planning and leading sub-tasks/projects.

• 11-14 years of demonstrated experience applying critical thinking, problem-solving and analytic skills in support of office operations. Must be capable of responding to requests of a regular and ad-hoc nature with minimum direction and supervision.

• Demonstrated experience executing and completing rapid turn-around and short-suspense tasks/actions items.

• 11-14 years of demonstrated experience with Microsoft Office products, with a specific emphasis on Word, Excel, PowerPoint, and Outlook applications.

** TS/SCI security clearance requied.


 

Desired Skills and Experience:

• Knowledge of NGA NCERTS.

• Familiarity with NGA Civilian Awards processes.

• Demonstrated knowledge of Intelligence Community; Department of Defense; and NGA Directorates.

• Demonstrated experience with using MS Office Applications and SharePoint.
